What changes, and what stays exactly as it is
The biggest reason restaurants do not change tools is not price — it is the fear of what will stop working on Friday night. Owlly comes in alongside what you have, not instead of it.
Rolling out a cost system in a restaurant comes down to connecting KSeF (about 15 minutes) and entering recipes — the current till, fiscal printers, fiscalisation and your accountant all stay unchanged.

Owlly POS early access is a separate, optional thing for venues that want a till in the browser. It is not a condition of the rollout and you do not have to think about it to start.
How long does the rollout take — day by day?
- Day 0 · 15 minutesYou connect KSeF
A token with read access to purchase invoices. From that moment documents arrive on their own, every hour. This is the only step that must happen — everything else works worse without it, but it works.
- Day 0 · 10 minutesYou connect the inbox
Suppliers who send a PDF by email land in the same place. The inbox is checked every 15 minutes.
- Day 1–3Owlly learns your suppliers
Invoice lines settle into ingredients. Some matches are flagged uncertain and come to you to confirm — that is the work worth doing once.
- Week 1 · one eveningRecipes
Photographs of the cards from the back of house become recipes with quantities. From then on a dish costs itself, at your own purchase prices.
- Week 2Stock, rotas, HACCP
Stock comes off sales, the rota shows labour cost beside revenue, temperatures are logged from the staff app. You switch on what you need.
Who does it on your side?
KSeF is connected by whoever has access to the company account — usually the owner or the accountant, a quarter of an hour. Recipes are best filled in by the head chef, because they know them; done by photographing the card, not by typing.
The team gets the staff app on their phones in week two and from then on counts stock and logs temperatures where they already work. Nobody gets a new duty — only a new place for an old one.
Where do you start today?
With KSeF. It is the only step that has to happen — everything else works worse without it, but it works. A token with read access to purchase invoices, one field in settings, and from that moment documents arrive on their own, every hour.
If you would rather see the result before the process: the free report on the last 90 days of invoices shows what went up and by how much, before you switch anything on.
Questions about the rollout
01How long does the whole rollout take?
KSeF is about 15 minutes and you can do it today. Recipes take one evening if you do the whole menu at once — or you spread them over a week, dish by dish. Stock and rotas you switch on when you want to.
02Do I have to migrate historical data?
You do not. Owlly starts from the invoices that arrive after you connect, and KSeF backfills the last few months — so you get price history without retyping anything.
03Who does this in my venue?
KSeF is connected by whoever has access to the company account. Recipes are best filled in by the head chef, because they know them — but they do it by photographing a card, not by typing.
04What if I cancel?
No commitment and no onboarding fee — you change or end the plan in settings, and billing is prorated to the day. Data is deleted on request.
