Owlly
FOR GROUPS · 5–30 VENUES

Food cost and labour cost side by side. In every venue.

Prime cost is two numbers that almost never stand next to each other in a group: raw material is computed in Excel, labour in the rota, and accounting sees them together three weeks after the fact. Owlly computes both from the same events, on the same day, per branch.

Software for a restaurant group is a system in which one recipe base serves every venue, each branch has its own KSeF handling and its own stock, and food cost and labour cost are set side by side as prime cost for each venue separately.

What changes when there is more than one venue?

One recipe base for every venue

A recipe lives once. A change of quantity at head office reaches every venue, and the cost is computed at local purchase prices — because Mokotów and Wrocław buy from different suppliers and pay differently.

Tax ID and KSeF routing per branch

Each branch can carry its own tax identity or inherit head office’s. Invoices land where they should, without being split by hand.

Transfers with confirmed receipt

Goods between venues leave one store only when the other confirms they arrived. Without that, transfers are a declaration and stock drifts apart.

A person working in several venues counted once

The same person on shift in two venues is one labour cost, not two. Without that, a group’s prime cost is overstated and nobody knows by how much.

Forecast, stock, counting and rota per branch

Every venue has its own demand forecast, its own stock and its own rota — and you see them side by side, in one table, in the same units.

Who sees what?

A venue manager sees their venue, their orders and their rota. Head office sees every venue side by side on one definition of prime cost. The accountant receives documents and an hours summary — without entering the operation.

Permissions are per page and per company, and every query is scoped to the entity the user has access to — two branches in two companies never meet inside one query.

What does a 3–5 venue pilot look like?

We pick venues that differ from each other — a different format, different suppliers, a different team size. A pilot across three near-identical venues does not answer whether this will work across the group.

After four weeks you know what prime cost really is in each of them, where it diverges and by how much — and that is a number you can take to the board, not a vendor’s claim.

Why not a foreign system?

KSeF

Systems from the US and the UK do not offer it and will not — it is a Polish obligation, not a global feature.

Priced in złoty

Billing in USD across a dozen venues is a cost that moves with the exchange rate, plus VAT to settle on your side.

Polish operations

Posnet, HACCP, the White List of VAT taxpayers, working-time records, and a staff app in Polish, Ukrainian and Russian.

The full comparison with concrete prices and features is on the pricing page — together with the CaterMon comparison, checked on 1 September 2026.

Let’s talk about your group.

The number of venues, the company structure, which modules you switch on — and a concrete number on the first call, not the third.

Across a group the scope varies enough that a single per-venue price would mislead in both directions. We quote on the number of venues, the company structure and which modules you actually switch on.

Questions from groups

01What does Owlly cost across several venues?

For a group we quote individually — the scope varies enough that a per-venue price list would mislead in both directions. On the call we go through the number of venues, the company structure and which modules you actually switch on, and you get a concrete number.

02What does the pilot look like?

Across 3–5 venues. We choose ones that differ from each other — a different format, different suppliers — because a pilot across three near-identical venues does not answer whether this works for the whole group.

03Does every branch need its own KSeF?

It does not have to. A branch either inherits head office’s tax identity or has its own — you decide per branch, and Owlly routes KSeF connections accordingly.

04Do we have to change tills in every venue?

No. Owlly works with your current till and comes in beside it — which is the part that decides it for a group, because replacing tills in fifteen venues at once is not a project anyone has time for.

05Who rolls it out on our side?

Usually one person from head office and one per venue for the first week. Connecting KSeF in a branch is about 15 minutes, and recipes are done once, centrally.
