Suppliers
Every supplier’s invoices,
read the same way.
Every supplier writes it differently: “MOZZARELLA FIOR DI LATTE 1KG”, “FIOR DI LATTE PER PIZZA 3KG”, a carton of 8 × 125 g. Owlly turns that into one ingredient, with a conversion to kilograms and one price history.

Three differences, and each breaks the costing its own way.
Owlly assigns every name on an invoice to an ingredient. When it is not sure, it asks you instead of guessing.
A wrong conversion is off by a multiple, not a percent.
The invoice gives a price per pack, the recipe needs a price per kilogram. Between them sits the conversion.
A 500 g jar booked as 1 kg halves the cost of every dish that uses it. A carton of 4 × 2.5 kg entered as 4 kg makes it two and a half times too high. On the invoice neither looks like a mistake.
In Owlly the conversion belongs to the supplier’s product, not to a single line: you confirm it once and it holds for every later delivery. When the supplier changes the pack size, you correct it in one place.
Three ways in, one invoice.
- 1KSeF. Owlly checks KSeF every hour and pulls purchase invoices by itself.
- 2E-mail. PDFs from your mailbox every 15 minutes, from suppliers who still send by e-mail.
- 3Paper. A phone photo at delivery.
The same invoice from KSeF and from e-mail counts once: Owlly recognises it by the seller’s tax ID, the number and the issue date.
Supplier names are trademarks of their owners and only describe how Owlly reads the documents they issue.
Questions about supplier invoices
Does Owlly read my supplier’s invoices?
Yes. Owlly reads the document, not one company’s template, so there is no list of supported suppliers.
What happens when a supplier renames a product?
The new name goes to the same ingredient, so the price history stays whole. When Owlly is not sure, it asks.
How does Owlly know how many kilograms are in a pack?
From the invoice when the supplier states it, and from a conversion you confirm once for that supplier’s product.
When will I see a price rise?
The morning after the invoice. Owlly works out price alerts every night and ranks them by how much money is at stake.
Do the supplier names on this page mean a partnership?
No. The names describe how Owlly reads their documents. Owlly is not a partner or agent of any of them.
